What it looks like in everyday work
Appointments, test reports, briefing records, health surveillance certificates, letters from authorities: occupational safety produces documents that must be available within minutes in an audit – and that in practice are spread across drives, emails and binders.
Folder management is the archive of AMS Go. Documents from the modules are filed automatically in the right place, your own documents are added by upload. Access rights, full-text search and versioning ensure everyone finds what they are allowed to see.
How it works in AMS Go
- 1
Define the structure
Adopt our folder structure by topic – organisation, risk assessment, briefings, tests, hazardous substances, health surveillance, incidents – or build your own per site.
- 2
File automatically
Inspection reports, test reports, briefing records, committee minutes and operating instructions are filed automatically from the modules into the right folder.
- 3
Add your own documents
Upload appointments, contracts, letters from authorities or expert reports – from your computer or photographed with the app – and tag them with keywords and validity.
- 4
Find and present
Full-text search across all documents, access rights per role and site. For audits you compile a folder with a few clicks or give auditors read access.
Retention duties in occupational safety
Many records must be retained: test reports at least until the next test, the first-aid log for five years, health surveillance records until the end of employment, exposure registers for up to 40 years. Structured storage with access rights fulfils evidence and data protection duties at the same time.
Frequently asked questions
Where are the documents stored?
At IONOS in ISO-certified data centres in Germany, encrypted in transit and at rest. Details are on the security & data protection page.
Is there a storage limit?
Plans include a generous quota that covers the usual records of a site. For extensive archives we extend storage as needed.
Can documents have an expiry date?
Yes. Documents with an expiry date – appointments, certificates or test certificates – trigger a reminder before they expire.
How do I get my documents out if I switch?
At any time as a complete export in the folder structure, including metadata. You remain the owner of your data.
