Operating instructions for hazardous substances template (PDF) under TRGS 555

Form with the seven sections of TRGS 555 – scope, substance name, hazards, protective measures, behaviour in an emergency, first aid, disposal – to fill in and post at the workplace.

As of PDFAMS Go editorial team

Every activity involving hazardous substances requires written operating instructions that describe hazards, protective measures, behaviour in an emergency, first aid and disposal for the specific workplace (Section 14 of the German Hazardous Substances Ordinance). The technical rule TRGS 555 prescribes a fixed structure for this.

This template follows that structure. The content comes from the safety data sheet – for each section, the template states which part of the data sheet provides the information.

What the template contains

  • PDF form with the seven sections of TRGS 555 in the classic layout
  • Notes on which sections of the safety data sheet provide the content
  • Space for pictograms, signal word and personal protective equipment
  • Signature fields for employer and occupational safety specialist

How to use the template

  1. 1

Have the safety data sheet ready

Section 2 provides hazards and pictograms, section 4 first aid, sections 5 and 6 behaviour in an emergency, sections 7 and 8 protective measures, section 13 disposal.

  2. 2

    Write in plain language

Translate H statements into everyday language: “H315 Causes skin irritation” becomes “Irritates the skin – wear protective gloves”. Short, specific, in the employees' language.

  3. 3

    Post and instruct

Post the operating instructions at the workplace and instruct employees using the document. Document the instruction with the safety instruction record.

Legal basis

  • Section 14 GefStoffV: informing and instructing employees, operating instructions
  • TRGS 555: operating instructions and information for employees
  • Section 12 of the Ordinance on Industrial Safety and Health (BetrSichV): operating instructions for work equipment

Frequently asked questions

What colour must operating instructions be?

No colour is prescribed. In Germany, orange has become established for hazardous substances, blue for machines and work equipment and green for biological agents. The colour helps employees identify instructions at a glance – only the content is mandatory.

May I post the safety data sheet instead of operating instructions?

No. The safety data sheet is aimed at the employer and, with 16 sections, is far too extensive. The operating instructions are the workplace-specific, easy-to-understand summary for employees – and they are expressly required.

Do I need separate operating instructions for every hazardous substance?

Not necessarily. Hazardous substances with comparable hazards and protective measures – several cleaning agents of the same type, for example – can be combined in group operating instructions. What matters is that the protective measures apply to all substances covered.

You may use and adapt the template freely in your own company and for your own clients. It reflects the regulations named as they stand, but does not replace legal advice or adapting it to your own company.
